Two industry leaders partner to take music supervisors and editors from clearance to cue sheet in a fraction of the time.

Trevanna Tracks, the industry standard in sync clearance and licensing software, announces a new integration with Soundmouse, the long-standing leader in music and cue sheet reporting. Now Trevanna users will be able to seamlessly move song metadata, including splits and usage, from Trevanna to Soundmouse, generating accurate cue sheets with ease. 

“Trevanna’s data and documents give production teams everything needed to air a synced song, but it doesn’t take the next step to ensure ongoing downstream payments. This process was brilliantly sorted by Soundmouse,” explains Jennifer Freed, founder and CEO of Trevanna Tracks. “We not only respect the team at Soundmouse, but they also have extraordinary technology, strong relationships with the PROs, decades of experience, and a complementary client base. When we were introduced to Soundmouse, we knew a partnership would solve that last stage in the music licensing process.”

Trevanna Tracks’ workflow starts at the beginning of the research and clearance process. The platform keeps track of negotiations, alternative tracks, rights holders, splits, usage, and notes, all the way through to final processing, including executed contracts and proof of payment. Soundmouse picks up from there, managing cue sheets and metadata as it connects all stakeholders in the reporting process: broadcasters, producers, collecting societies, distributors, and, of course, music creators.

The Soundmouse integration will allow Trevanna users to directly download a cue sheet file with complete licensing data, prepared for a direct upload to Soundmouse. Prior to that export, an in-platform Cue Sheet View highlights any missing information in red, minimizing errors and oversights. Soundmouse users, be they music supervisors or music editors, will have the ability to upload the file directly into Soundmouse and make any further amendments, eliminating the need to re-enter data.

Trevanna Tracks, the cloud-based software that transformed how studios and content creators manage sync music licensing, has undergone a rebrand, including an artful new website that better conveys the company’s mission to calm the chaos faced by music teams at the most forward thinking studios and video game developers.

The timing coincides with the public debut of two major features on the platform, Divisions and Non-Licensed Tracks. 

Credible. Smart. Friendly. Helpful

Created by post-production executive Jennifer Freed, Trevanna Tracks has achieved success by blazing its own trail in entertainment technology. The rebrand is no exception: The site uses direct language and whimsical watercolor illustrations to demonstrate who it is for, what it does, and what can be expected when partnering with a SaaS platform that puts customer relationships first.

 “We’ve been so dedicated to developing an intuitive product that makes our clients’ lives easier, we hadn’t taken a moment to define who we are,” said Freed, founder and CEO of Trevanna Tracks. “When we went through the identity process with a creative director, it was unanimous: Trevanna Tracks is credible, smart, friendly, and helpful. We know the technology we’ve built presents in this way; the time had come for those who are discovering us for the first time to see it too.” 

With that in mind, Trevanna’s rebrand had the goal of making a statement, showcasing the company's personality, and maintaining the clean user experience clients rely on. 

The result: 
- Trevanna Tracks has defined itself as The Standard. 
- Each section of the site features a custom watercolor illustration by artist Keiko Morimoto. 
- The pages are a simple pathway, designed to lead a potential user effortlessly through the platform’s features or to connect with company leaders. 

Divisions

The software’s most significant new development since its release, Divisions enables enterprises with multiple brands, business areas, or territories to create clear definitions between units within one subscription to Trevanna.   

Enhanced functionality includes the client’s ability to:
- Share information among Divisions that will continue to reduce inefficiencies in workflow;
- Maintain confidentiality with Division-specific restrictions;
- Customize fields based on preferences;
- Grant visibility into only that business unit’s projects; 
- Improve executive-level reporting on music use, budgets, annual spend per licensor, and other data to inform future creative decisions.

Non-Licensed Tracks

Non-Licensed Tracks allows productions to organize and report on original music, scores, and work-for-hire just as they do licensed tracks. The feature was designed after speaking with clients on how the software could improve workflow.

Trevanna Tracks clients oversee a range of music use across multiple productions and marketing campaigns, and they often touch tracks that don’t require a license. By building out functionality and managed lists so that clients can enter these tracks into the platform, data remains clean and users are able to have a single source of truth for all types of synced music.

Clearing and licensing music may be the thorniest, most complex process facing creative teams who want to place commercially released tracks into a production. Trevanna Tracks, the software quietly setting the industry standard for sync music clearance and licensing, brings order to the chaos, efficiencies to the never-ending research, and consistency to communications. Imagined, created, and led by Jennifer Freed, an entertainment executive with more than 700 credits to her name as founder of respected accounting firm Trevanna Post, Trevanna Tracks is a credible and innovative tool that is simple to use and always accurate. 

Music clearance and licensing starts early and ends late, with payments and contract executions dragging on long after post-production has wrapped. When Freed asked the team at Trevanna Post what frustrated them most, the near-unanimous answer was music licensing. In far too many cases, loose ends and scattered documentation linger, while the lack of standardization in music grids made splits and payments difficult to track. 

“We would be on to the next film and had no reliable system to help us keep track of where the music licensing stood,” Freed explains, “Music supervisors and licensing executives pour hours into their spreadsheets, yet errors can still occur because of the sheer volume and complexities,” Freed notes. “You could have a major production with a million-dollar music budget to license 40 tracks via 90 licenses, yet documents were not labeled consistently and there wasn’t visibility into the status of each license.” The problem has multiplied by the collaboration trend resulting in more splits per track. 

In 2016 Freed resolved to bring it all into one intuitive, accessible place and to finally provide a uniform format that would be appreciated by everyone music licensing touches: music supervisors, business affairs, finance, and even licensors. She knew the power of a well-designed productivity tool and was eager to take on this challenge to help the industry she loves. 

The result is Trevanna Tracks, a cloud-based productivity software that has been adopted by Hollywood’s leading studios and streaming companies. Built by women in film production and product development who know the struggle well and love to solve problems with their clients, Trevanna Tracks makes the clearance process faster allowing multiple departments to access information from one single source of truth.

In its area dedicated to clearance, Trevanna Tracks not only lets music teams research and compare alternative tracks; it does the math for them, ensuring splits and totals are always accurate. The Form Gen tool automates routine tasks like quote requests, reducing the time required to contact licensors by 80%, while ensuring brand consistency in each external communication. 

The licensing module manages documents for version control across departments in high-volume environments and provides a clear high-level status page at login so everyone, from studio executives to freelance supervisors, sees what they need with the right level of granularity.

Business decisions are influenced by Trevanna’s distinct advantage over spreadsheets: data. As tracks, licenses, fees, and usage are entered, each company builds a proprietary database of rightsholders, negotiation trails, and contacts. This not only informs budgets and creative decisions for future productions; it provides a powerful negotiation tool. 

Though Trevanna Tracks is tailored to enterprise-level studios and production companies, one of its most exciting features—one-click final delivery—got its big debut thanks to an intrepid beta tester. An independent producer client was hustling to finish her film on a shoestring, which she submitted to and sold at Sundance! When it came time to deliver the final product, the producer had a great experience with Trevanna Tracks. 

“She would log in every day just to see what hadn’t been paid yet and slowly watch the balance go down,” Freed recalls. “When the report reached zero and all the contracts were in, she pressed one-click delivery and sent it to the distributor.” The buyer, a major streaming platform, wanted to know how she got everything so well organized. After she told them about Trevanna Tracks, they ultimately became the company’s first enterprise customer.

“Our product alone is transformative to the steps in sync music licensing. Though we have a tech product, our company was designed by people who love movies and music. Our users are our friends and colleagues, and we’re all in this together as filmmakers,” says Freed. “If our clients and users don’t enjoy using Trevanna, we haven’t reached our goal. No one should feel forced to adopt it; they should feel excited. That’s the heart of the company, a tool that lets people spend less time on administration and more on making great content.”
